JEPP Claim Overview

Important: All sections of the claim form and claim costing worksheet must be completed and the supporting documents attached with your submission.

Claims with missing information cannot be accepted. Please remember that as part of your agreement with Public Safety Canada:

  • Claims require a complete accounting of all costs
  • Claim should be submitted when completed
  • Claims are subject to audit by provincial and federal auditors
  • Goods and services that pre-date the Project Approval Notification Letter, or that are received after the March 31st deadline, are not eligible for reimbursement
  • Foreign Currency - Purchases in foreign currency must be converted to Canadian currency on the costing worksheet
  • Invoices must have sufficient detail to confirm what was purchased. Public Safety Canada will compare what was purchased with what was originally approved. Expenses for goods and services not previously approved by Public Safety Canada will not be accepted. Any additional items purchased (not originally approved), must be accompanied by the amendment approval email you would have received from EMBC, prior to purchase.
  • HST Tax - The portion of taxes eligible for a rebate are not eligible for cost-sharing

When your claim is complete (please do not wait until March 31st), please submit the following to EMBC (mailing or email address available on bottom of claim form):

  • Claim Form signed and dated by the appropriate financial officer
  • Claim Costing Worksheet with each pre-approved item on a separate line
  • Supporting Documents - refer to the claim form
  • Consultant or contractor invoices - refer to the Consultant and Contractor Checklist [pdf]
  • Capped projects - generator or vehicles. For information on how to complete claim costing worksheet, refer to the federal guidelines section 3.3.1
  • Receipts to support any charges on invoices
  • Proof of payment (front and back of cashed cheques or general ledger showing paid transactions).
  • Federal recognition statement: Public visibility should be given through press releases and/or signage where appropriate. Recognition MUST be in tangible form (such as acknowledgement on websites, reports, documents, manuals and DVDs, or on decals or plaques fixed to equipment and vehicles), indicating that the project was funded with the assistance of the Government of Canada (Public Safety Canada).
